We can’t wait to see you on your first day. Before you go, there are important steps you must take so you can get started on time. 

You must complete these steps BEFORE you begin employment. If you are no longer able to start as originally planned and need to discuss changing your start date, please contact your recruiter prior to taking any of the next steps below.

Winter weather advisory: If winter weather is forecasted and in-person orientation is canceled, you will be notified via email on the Sunday before New Colleague Orientation with instructions to follow an online orientation schedule. For weather cancellation and other questions call our hotline at 860.696.2001.

Before you start — Get your ID badge started

Upload a photo for your Hartford HealthCare badge.

Please be sure to register and submit your photos at least a week before your start date. Doing so helps to ensure your badge will be ready for pickup on your first day. 

If you are unable to submit photos, not a problem! Please still register and we will work with you on your first day to take photographs.

Before you start — Save time: Present your identity and work authorization paperwork (I-9)

Every employer is required by federal law to complete an employment eligibility form (also known as an I-9) to verify your identity and your authorization to work in the United States.

This is a two-step process.

  1. The first step is to complete the online section through your onboarding portal after electronically signing your offer letter.
  2. The second step is in-person verification of your identity. This can be completed up to a month before your start date, but not any sooner. This requires you to physically bring proof of your eligibility to work as defined by the list of acceptable documents found here to an HHC HR location or in-person orientation, if applicable.

Please note: This is a requirement for all new and returning colleagues, regardless of the amount of time that has passed from previous employment with HHC.

You have two options to complete the in-person requirement:

Option 1: Before Day 1

Bring your acceptable documents to one of the following locations during designated business hours before orientation. Choose from the list of acceptable documents here.

Option 2: Complete on Day 1 at your local HR office

If you are unable to complete your I-9 earlier, you will need to report to your local HR office to complete this requirement. Please make sure you bring a current photo ID, along with the accepted documentation found here.

Please be aware that an I-9 for your new position must be completed within 3 business days from the start of your employment to allow you to work. If you do not complete your I-9 within this timeframe, your local HR team will work with you to remain compliant. However, please be aware that delays in submitting documentation may place your employment at risk.

Before you start — Complete all remaining pre-employment requirements

If you have not already, you must complete all pre-employment steps before orientation.

If you do not finish all the steps, you cannot start work. This includes but is not limited to:

  • Online onboarding forms (tax forms, confidentiality agreement, etc.)
  • Medical clearance requirements as determined by occupational health
  • Any other job-specific or entity-specific requirements as shared by your recruiter

Prepare to start in your new department

Before your first day in your respective department, make sure you have completed all required pre-employment documentation and virtual learnings.

If these steps are complete, then you are ready for your local onboarding!

The following resources can be accessed when you are on-site or when you have your HHC credentials. You will receive this from your hiring manager once you begin work.

You’ll need to do this to get paid and keep your personal information, like your mailing address up to date.

  • Log in and familiarize yourself with HR Express
    HR Express is the place you will go to set up direct deposit, view your paycheck, update your personal and work data and more. Learn to use it now and it will be your best friend forever.

  • Set up direct deposit
    Do this in your first couple days of work so you can get paid fast. You will use HR Express to set up direct deposit during your first couple days at work. Learn more

  • Visit and familiarize yourself with HHC Connect
    This is HHC’s intranet, your one-stop shop to find everything you need to work and support your family.  If HR Express is your BFF, HHC Connect will be like your extended family! HHC Connect

You will be able to do all of this and more right from your mobile device once you have been given system access and learned to use two-factor authentication.

Hartford HealthCare offers a comprehensive benefits program to meet your needs. Some benefits you will need to enroll in, while others are provided automatically at no cost to you. You are eligible for benefits if the standard hours for your position are 24 hours or more. This allows you to enroll in medical, dental, vision and other insurance coverage. There are also benefits available to all colleagues, regardless of your standard hours. These include a 401k retirement account and our Colleague Assistance Program (which provides free counseling and other emotional support).

You can learn more about your benefits by completing the course, “Introduction to Hartford HealthCare Benefits” in HealthStream. This will help you select the right plans for you and your family. Please take this course no later than one week after your start date

Important: If you want benefits in this calendar year, you must enroll within 31 days of your start date. Benefits become effective on the first day of the month following your start date. If you miss this deadline, the next time you can enroll is during open enrollment for the following year, unless you have a life event such as marriage or loss of coverage elsewhere.
